Job Specification:
The Office Manager will primarily be responsible for the overall Office Management for the US office. He/ She will need to perform all of the administrative activities that facilitate the smooth running of the US Operations.
Ideal Candidate will have the following attributes:
  • Excellent English language and grammar skills – written and verbal;
  • Excellent communication skills – written and verbal;
  • Excellent knowledge and understanding of the use of Email, PowerPoint, Word, Excel and other MS software and packages;
  • Excellent organization skills, attention to details and efficiency;
  • Confident in abilities;
  • Able to use initiative and creativity;
  • Able to deal with sensitive and complex situations;
  • Hold a relevant qualification in business / administration management;
  • Self-motivated and career-driven;
  • Minimum five years’ experience in similar, dynamic roles;
  • Proven ability to maintain confidentiality, impartiality and discretion.
  • Serve as the go-to person for office-related issues;
  • Maintain office efficiency by planning and implementing office systems, layouts, and equipment procurement in liaison with the Corporate Facilities team
  • Liaise with office landlord for infrastructure or service support as and when required
  • Maintain the condition of the office and arranging for necessary repairs;
  • Liaise with local providers if needed (e.g. health insurance, insurance, broker)
  • Liaison with vendors (mobile phone, IT, etc.,) as and when required
  • File regulatory / audit documents in originals received locally
  • Handle all incoming and outgoing posts efficiently
  • Be in-charge of the company and client contracts
  • Assist in travel arrangements for US employees as well as for senior management visiting the US
  • Update Credit Card settlement statements for location head
  • Keep a record of office expenditure;
  • Other short duties like booking reservations for lunch with clients etc.
  • File regulatory / audit documents in originals received locally
  • Handle incoming calls if needed
Administrative Support for the Business Development team
  • Printing, Scanning documents and letters for all sales persons in the office
  • Provide logistical support to the team for business events such as conferences, roundtables etc.
  • Timely compilation and filing of expense reports
Local Administrative Support for Finance and HR related matter
  • File documents into employee files as directed by the International HR
  • Execute the wire transfers from TD Banks (submission of request to Bank)
  • Liaise with vendor for queries raised by Finance as needed
  • Update incoming invoices and seek necessary Invoice approvals
  • Scan documents to Finance for necessary actions such as vendor invoices, client notices, government notices, tax demand, payment advices and other finance related documents.
  • Maintain the details of cheques deposited with bank and send these details periodically
  • Deposit client cheques as and when received and communicate finance immediately
Other duties
  • Assist in specific projects such as searching, mailing.
  • Research specific topics as requested.
  • Decorate the office for festivals such as Christmas, Diwali etc
  • Any other activity from time to time
Working Hours:
  • Workweek: Monday through Friday
  • Working hours: 9:30am to 6:30pm, with one hour per day permitted for lunch.
  • This role requires regular attendance and flexible working hours
