Job Description:

Our client, a leading provider of innovative communications solutions located in the heart of Silicon Valley, is currently seeking a dynamic and enthusiastic Executive Assistant who will primarily be responsible for providing sales, marketing and administrative support to the CEO and Marketing Manager while assisting them in the performance of their duties. The successful incumbent will furthermore be responsible for ensuring all daily operations are carried out in an effective and efficient manner.

Major Responsibilities
  • Administrative services, including, but not limited to: travel arrangement; trade show scheduling; research; invoicing; conducting collection calls (where applicable); maintaining office and client files; mail distribution; and answering and directing phone calls;
  • Managing FedEx pickups and deliveries to the office and trade shows while ensuring they are made in a timely fashion, and acting as point of contact for all company deliveries;
  • Monitoring the Office and Kitchen inventory by efficiently anticipating, selecting, and purchasing Office and Kitchen supplies, and regularly verifying stock to determine inventory level, with a focus on the company kitchen area;
  • Using CRM in support of sales and marketing initiatives; and
  • Performing related duties, as requested by the CEO and Marketing Manager from time to time.
Required Skills and Qualifications
  • Post-secondary education in business or office management preferred, or relevant experience in an office environment;
  • Minimum of 3 years of experience in a similar role;
  • Sales and marketing experience an asset;
  • Experience in working with CRM systems preferred;
  • Microsoft Office proficiency;
  • Strong written and verbal communication skills;
  • Willingness and desire to learn and grow within the company;
  • High level of commitment to the delivery of exceptional customer service;
  • Positive attitude, strong interpersonal skills and professionalism; and
  • Self-starting capabilities coupled with excellent time management, problem solving and organizational skills.

Compensation: 40K – 45K, dependent on experience
